Who we are
Groovy IT is the data controller for personal information collected through this website
(including website enquiries submitted via the contact form).
You can contact us about privacy questions at contact@groovyit.co.uk.
If you would like a postal contact address for a formal privacy request, please request it by email.
What information we collect
When you submit the contact form, we collect the information you enter, which may include:
- Full name
- Company name (if provided)
- Email address
- Phone number (if provided)
- Primary need / service selection (including Discovery Call)
- Your message / enquiry details
We also use a hidden honeypot field to help reduce spam submissions.
Please do not send payment card details or sensitive personal information
(such as health data) through the contact form.
How we use your information and our lawful bases
We use enquiry information to review and respond to your request, provide quotes or arrange a
discovery call, and keep a record of the conversation.
- Contract / steps before entering a contract: to respond to requests for
services, quotes, or consultations.
- Legitimate interests: to run and improve our business communications,
manage enquiries, prevent spam/abuse, and keep appropriate records.
- Legal obligation: where we need to keep records or disclose data to comply
with applicable law.
We do not use your contact form enquiry for email marketing unless you separately ask to receive
marketing updates and we have an appropriate lawful basis to do so.
Netlify Forms and email forwarding
This website uses Netlify Forms to capture contact form submissions. When you
submit the form, your data is processed by Netlify as part of the website hosting/form handling
service.
Form submissions may be stored in the Netlify site dashboard and/or forwarded by email to the
mailbox used by Groovy IT so we can respond to your enquiry.
Netlify may also process technical information related to form submission and site security (for
example, request metadata and anti-spam/security checks).
Other website technologies used on this site
Hosting and security logs
The site is hosted on Netlify. Like most web hosts, Netlify may process server/request data
(such as IP address, timestamps, and user agent information) for security, performance, and
diagnostics.
Fonts and icons loaded from third parties
The site loads Google Fonts (fonts.googleapis.com / fonts.gstatic.com) and Font Awesome from the
cdnjs CDN (served by Cloudflare). When your browser loads these assets, those providers may
receive your IP address and standard request metadata.
Local storage (dark mode preference)
The site stores a small browser local storage value (darkMode) so your light/dark mode
preference is remembered on future visits.
At the time of this notice, the site does not intentionally set analytics or advertising cookies
from site-owned code.
Who we share your information with
We only share personal data where necessary to operate the website and respond to your enquiry,
including:
- Netlify (website hosting and form processing)
- Our email provider/mailbox service (to receive forwarded form submissions and reply)
- Professional advisers or service providers where reasonably necessary
- Authorities or regulators where required by law
We do not sell your personal data.
International transfers
Some providers used by this website (for example hosting/CDN/font providers and email service
providers) may process data outside the UK. Where this happens, we expect providers to use
appropriate safeguards such as contractual protections and transfer mechanisms required by
applicable data protection law.
How long we keep enquiry data
We keep contact form enquiries only for as long as reasonably necessary for the purpose they
were collected.
- General enquiries: usually up to 24 months after the last meaningful contact
- Customer/project records: longer where needed for service delivery, support, accounting, or
legal obligations
- Spam or abusive submissions: may be retained for security and abuse prevention purposes
We may delete or anonymise data earlier where appropriate.
Your rights
Depending on your circumstances, you may have rights to request access to, correction of,
deletion of, restriction of, or objection to the processing of your personal data, and in some
cases the right to data portability.
You can exercise your rights by emailing contact@groovyit.co.uk. We may need to verify your identity
before completing your request.
If you are unhappy with how we handle your personal data, you can complain to the UK Information
Commissioner's Office (ICO): ico.org.uk/make-a-complaint.
Security
We take reasonable technical and organisational steps to protect personal information. However,
no website or email transmission is completely secure, so please avoid sending highly sensitive
information through the contact form.
